How to Set Up Automated Pickups

This article explains how to set up automated pickups, so Swotzy books a courier for your shipments as soon as they are ready.

 

Result After Completion

Once set up:

  • Swotzy books a courier pickup for each shipment that reaches the status Ready
  • Automatically booked pickups appear in Manage Pickups > Scheduled

Before You Start

Keep in mind that:

  • Automated pickups are set separately for each sender address and carrier. All carriers are switched off by default.
  • Changes apply only to shipments that reach the status Ready after you save them.

How Automated Pickups Work

Ready shipments are booked for the same working day while the carrier still offers a pickup window. Otherwise, they are booked for the next working day. Non-working days are skipped.

With Consolidate into one daily pickup switched on, all shipments that become ready at the same address for the same carrier are combined into one pickup per day. With it switched off, a separate pickup is booked each time shipments become ready. This setting is switched on by default.

Latvijas Pasts pickups are always combined into one daily pickup, because Latvijas Pasts allows only one pickup per address per day.

LP Express and Unisend parcels that you drop off at a parcel locker are not booked for pickup. Take them to a parcel locker yourself.

If you have an active daily pickup for an address and carrier, automated pickups are switched off for that address and carrier.

Set Up Automated Pickups

  1. In the left-hand menu, go to Settings > Pickups
  2. Check that Automated pickups is switched on. It is on by default. When it is off, all other automation settings are disabled.
  3. Leave Consolidate into one daily pickup switched on, or switch it off to book a separate pickup each time shipments become ready
  4. Under By location & carrier, check that the switch next to the sender address is on. When it is off, the address shows Automation paused.
  5. Click the arrow next to the sender address
  6. Switch on each carrier you want to automate for that address
  7. For carriers with a dropdown, select a pickup window, or leave Earliest available

Some carriers let you choose a pickup window. For others, the row shows Carrier sets the window, and the carrier decides the pickup time.

  1. Repeat steps 4–7 for other sender addresses if needed
  2. Click Save changes

Track Your Automated Pickups

In Manage Pickups > Scheduled, automatically booked pickups are marked Automatically scheduled.

When consolidation is on, a pickup shows Collection pending until it is sent to the carrier. The time it will be sent is shown under the pickup window. To send it earlier, click Send now.

In Shipment Overview, shipments waiting for an automated pickup show Pickup is being scheduled automatically.

If an Automated Pickup Cannot Be Booked

An automated pickup may fail, for example because the carrier declines it or the carrier's system is unavailable. A banner then appears in Manage Pickups: Automated pickup couldn't be booked. Swotzy tries to book the pickup again in the next available slot.

If the second attempt also fails, automation stops for those parcels. The parcels return to the Available tab and show Automation declined. Schedule a pickup for them manually. For details, see How to Schedule a Courier Pickup.

Notifications

A dot appears next to Manage Pickups when a pickup is booked automatically. To turn this off, go to Settings > Pickups and switch off Automated pickups under Notifications.

Both notification settings are switched on by default. Notifications about pickups that could not be booked are always shown.
