You can arrange shipments to recipients anywhere in the world, choosing the most advantageous courier service. On the platform, you can create an unlimited number of shipments.
💡
Payment for shipments is deducted only when the shipment is physically sent out.
To start arranging a new shipment:

Go to app.swotzy.com and log in to your account.
- Navigate to the Create Shipment section (large yellow button in the top right corner of the page).
Layout of the sections
On the left side of the page, you will find fields to fill out for creating a new shipment, while on the right side, you will see a summary of the shipment. As you enter the necessary information for the shipment, the right side will also display courier service options.
Choose courier delivery option for individuals or businesses
On the Swotzy platform, you have the option to arrange:

Courier delivery shipments to private individuals (selecting the option To Private Person);

Courier delivery shipments to other businesses (selecting the option To other Business);

Shipments to parcel lockers (selecting the option To Parcel Locker);
-
Pallet shipments (selecting the option Pallets).
In the following article, you will learn what information is required to enter for courier delivery shipments.
When selecting these shipment delivery options, you need to fill in the following fields:
Information to be entered
1. Sender's information (Ship From)
In the Ship From section, you can enter information about the package sender (either yourself or your company):

From the saved address library;

Enter the sender's address manually.

When entering a new sender's address manually, some information is automatically filled in.
Make sure it is filled in correctly!
Fields to be filled in

Your name / company name: The name that will appear on official shipment documents, including the shipment label.

Sender's phone number: Provide a contact phone number to reach you regarding the specific shipment (for our team or the courier service).

Sender's address: Street address, apartment number (if applicable), City, Postal code.

If you want to save the manually entered address to your address library, check the box at the bottom of the section - Save new sender address.
2. Recipient's information (Ship To)
Just like sender information, you can also enter recipient information:
- From the saved address library;
- Enter the sender's address manually.

When entering a new recipient address manually, some information is automatically filled in.
Make sure it is filled in correctly!
Fields to fill in:

Recipient's name / Company name: The name that will appear on official shipment documents, including the shipment label.

Recipient's phone number: Provide a contact phone number to reach them regarding the specific shipment (for our team or the courier service).

Recipient's address: Street address, apartment number (if applicable), City, Postal code.

If you want to save the manually entered recipient address to your address book, check the box at the bottom of the section - Save Recipient Address.
3.Package parameters
The next important task is to enter as accurate as possible the dimensions of the package and the total weight of the shipment. Package dimensions and weight directly affect the calculation of the shipment's cost.

Courier services always carefully check the dimensions and weight of packages. If the dimensions you provide do not match those measured by the courier, an additional fee may be charged unexpectedly, which could also affect the final cost of your shipment.
You can enter the package parameters:

Choosing from the saved packaging library: Select the appropriate package and enter the total package weight. If you want to send multiple identical packages to the same recipient, click on the icon in the top right corner to duplicate the selected package parameters.

Entering package parameters manually:
Package parameters consist of the following data:

Length: the longest side of the package, in cm;

Width: the width of the package, in cm;

Height: the total height of the package, in cm;
Weight: the total weight of the package (including its contents), in kg
4. Product information

For shipments outside Latvia, it is necessary to include information about the contents of the shipment - product information.
If you plan to send your products outside the country, courier services often require precise information about the contents of the package. This information is crucial and significantly impacts not only customs duties but also delivery speed. Incorrectly provided product information can frequently delay or even halt the delivery process altogether.
Some courier services allow package shipments within the European Union without the requirement to add a product description. This streamlined process is currently facilitated on the platform by:

Omniva;
-
DPD;
-
Itella;
-
Venipak.
Currently, these courier services require a product description to be entered for all shipments outside Latvia:

Latvijas Pasts;
-
Express Pasts;
-
Fedex.
To add product information, click on the button labeled Add Items.
You can add product information in two ways:
- Choosing a product from your library: Select the product and enter the quantity of the product in the shipment.
- Entering product description manually:
My Items: This function allows you to quickly fill in all required fields automatically if you have previously stored your product information in the section (Settings) Items. We highly recommend using this function, especially if you create shipments frequently. It will save you a lot of manual work in the future;
Title/Description: Enter a description of your product. We recommend filling in this field with at least 2 words to facilitate customs clearance without unnecessary misunderstandings. This description is always compared with the indicated HS code;
Quantity: Please enter how many of the specified products are in the package;
Price (per item): Specify the selling price of your product (excluding VAT);
Weight (in total): Specify the total weight of your product. Accurate weight is crucial for determining the shipment's cost. Quality and precise scales are essential tools in e-commerce to match planned costs with actual expenses;
Country of Origin: Please indicate the country of origin of your product;
Category/HS code: Ensure that the indicated HS code is accurate and correct. On the platform, we have provided the official European website where you can find the correct HS code for your product;
SKU: This field is for your use and is not mandatory to fill out;
Once all required fields are filled out, click the Add Item button.

In cases where you want to send multiple packages to the same recipient simultaneously, you can do so by clicking the Add Package button (if the package content or size differs) or the Duplicate this Package icon in the top right corner (if the package and its contents are identical).
Additionally, you have the option to save manually entered package parameters to your product library by clicking on the Save in Package Library icon in the top right corner.
Choose the best courier service offer
Once all necessary information about the package sender, recipient, and the shipment itself is filled out, it's time to evaluate courier service offers, which you will find on the right side of the screen.
- Choose the courier delivery service you prefer by clicking on it.
- Generate the shipment label by pressing the yellow Create Label button.
- After generating the shipment label, a new window will open displaying a summary of the created shipment.
- From the summary view, you can immediately download the shipment label - Download Label and/or schedule a free courier pickup - Schedule a Pickup.
💡
You can schedule both the shipment label and the courier pickup later for multiple shipments processed simultaneously.
