What Are Store Automation Rules?

Store automation rules let you automate how orders from your connected stores are processed in Swotzy. Instead of manually adjusting each order, you define rules that apply actions automatically based on conditions you set.

 

Each rule follows a simple structure: when an order meets your defined conditions, Swotzy applies the action you chose. This reduces repetitive work and helps you process shipments faster.

How Automation Rules Work

Every rule consists of three parts:

  1. Action — what Swotzy does when the rule is triggered (e.g., find the closest parcelshop, set a specific carrier, or skip the import)
  2. Conditions — the criteria an order must meet for the action to apply (e.g., shipping method, destination country, or order value)
  3. Settings — an optional rule name and a status toggle to activate or deactivate the rule

Rules are evaluated from bottom to top. The rule at the bottom of your list has the highest priority.

Multiple rules can apply to the same order, as long as each rule performs a different action. If two or more rules perform the same action, the first matching rule wins.

Rule Categories

Automation rules are organized into three categories. Each category targets a different stage of order processing.

Order Import

Order Import rules run on every order imported from your store. Use them to control what happens at the moment an order arrives in Swotzy.

Available actions include skipping an import, auto-fulfilling an order after a label is created, finding the closest parcelshop for the recipient, and setting order fields such as phone numbers. Open the action menu to see all available options.

Checkout Rates

Checkout Rates rules let you offer parcelshop delivery options to your customers at checkout. You select which carriers' parcelshops to offer and set the price your customers see, based on conditions you define. The first matching rule per carrier wins.

Checkout Rates are available for Shopify stores only.

Carrier Selection

Carrier Selection rules automatically pick a carrier and service before you generate a label. Use them to assign carriers based on order conditions, so you don't have to select one manually for every shipment.

Available actions include setting a specific carrier and service, finding the closest parcelshop, and using your own carrier contract.

Rule Priority

Within each category, rules are evaluated from bottom to top. If multiple rules perform different actions, all of them can apply to the same order. If multiple rules perform the same action, the first match wins — the remaining rules with that action are skipped.

If you have multiple rules, order them from most general to most specific. Place broader catch-all rules at the top and rules with narrow conditions at the bottom.

Where to Find Automation Rules

  1. In the left-hand menu, click Integrations
  2. Select Stores
  3. Click Manage under the store you want to configure
  4. The Rules panel is on the right side of the screen
