What is a Monthly Invoice? – Help Center

Monthly invoices cover all shipments sent during a calendar month, including shipments that have been dispatched but not yet delivered. This article explains when monthly invoices are issued and what they include.

Invoice Format: YYYY-MM-XXXXX (e.g. 2026-02-XXXXX)

XXXXX represents your client-specific invoice identifier.

When Is It Issued?

Monthly invoices are prepared and sent on the first working day of the following month.

Link Your Own Contract

If you have linked your own carrier contract to Swotzy, the per-label fee charged for each shipment created using that contract is included in your monthly invoice. No separate invoice is issued for this fee.

Shipment Breakdown File

Monthly invoices are issued with an accompanying shipment breakdown file. The shipment breakdown file contains details of all shipments covered by the invoice, along with the costs charged by the carrier. To learn more, see: What is a Shipment Breakdown File?
