Swotzy uses a post-paid monthly invoicing system. You create and send shipments throughout the month, then receive one consolidated invoice for all your shipments.

When are invoices issued?
You'll receive your monthly invoice by the 10th of the following month via email from accounting@swotzy.com.
Example timeline:
- September 1-30: You create and send shipments
- October 1-10: Invoice is prepared and sent to you
- October 10-24: Payment due (7-day payment terms)
π What's included in your invoice
Your invoice includes all shipments that were invoiced by the carrier during the previous month.
How shipments are calculated:
β Actual weight and dimensions are verified
We check if carriers adjusted the measurements.
β First tracking event determines the billing month
Most carriers invoice based on when the shipment entered their system.
β Carrier invoices are consolidated
All your shipments across different carriers in one invoice.
π‘ Important timing note:
Month-end shipments: If you create a label on the 30th or 31st but the carrier doesn't scan it until after midnight, it will appear on the following month's invoice.
Example:
- Label created: March 31st at 11:00 PM
- Carrier scans parcel: April 1st at 12:30 AM (sorting center)
- Appears on: April invoice (not March)
β How to pay your invoice
Step 1: Receive your invoice
Check your email inbox around the 10th of each month for an invoice from accounting@swotzy.com.

Step 2: Review invoice details
Your invoice includes:
- Carrier used
- Original vs. actual weight/dimensions
- Price per shipment
- Total amount due
Step 3: Make a payment
Payment terms: 7 days from invoice date.

π§Ύ Understanding your invoice
Why might my costs differ from the quote?
Your final invoice amount may differ from the initial rate calculation if:
1. Dimensional weight adjustment:
- Carrier measured different dimensions than you entered
- Package was larger than declared
- Dimensional weight exceeded actual weight
2. Weight discrepancies:
- Actual weight was higher than declared
- The carrier's scale showed a different weight
3. Added customs fees for international shipments:
Customs fees are not displayed in Swotzy's prices. Instead, they'll be added to your bill if you've chosen to ship with the DDP (delivery duty paid) method.
